Fittedd, Dr Schaepmanstraat 13, 3314 RH Dordrecht, Netherlands (company number 83969969), is the data controller for personal data processed through xfg-market.com. This policy explains what we collect, why, and what rights you have under the General Data Protection Regulation (GDPR).

What we collect

  • Contact and order data: name, company name, email, phone number, delivery and invoice address, VAT number, order and quotation history.
  • Payment data: the payment method and transaction reference. Card numbers are handled by our payment provider and never reach our systems.
  • Correspondence: emails, WhatsApp messages and call notes relating to quotations, orders, returns and support.
  • Technical data: IP address, browser type, pages viewed and referring site, collected through strictly necessary and (with consent) analytics cookies.

Why we process it and on what basis

  • Performance of a contract: processing quotations and orders, arranging DHL delivery, handling returns and warranty claims.
  • Legal obligation: issuing invoices and retaining accounting records for the statutory period under Dutch tax law.
  • Legitimate interests: keeping the Site secure, preventing fraud, improving our range and answering enquiries.
  • Consent: analytics cookies and any marketing emails. You can withdraw consent at any time.

Who we share it with

  • DHL, for delivering your order and providing tracking.
  • Our payment providers, for processing iDEAL, card and SEPA payments.
  • Our accountant and IT/hosting providers, acting as processors under written agreements.
  • Authorities, where we are legally required to disclose information.

We do not sell personal data. Where a provider processes data outside the EEA, we rely on the European Commission's standard contractual clauses or an adequacy decision.

How long we keep it

  • Order, invoice and tax records: 7 years, as required by Dutch law.
  • Quotation and enquiry correspondence: up to 2 years after the last contact.
  • Website analytics data: up to 14 months.

Your rights

You have the right to access, rectify or erase your personal data, to restrict or object to processing, to data portability, and to withdraw consent. To exercise a right, email info@xfg-market.com. We respond within one month.

If you are not satisfied, you may complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the supervisory authority in your own EU country.

Security

Data is transmitted over encrypted connections and stored on access-controlled systems with our hosting and software providers. Access is limited to staff who need it to do their job.
